The Document Attachment module has been extended into the action pane in quite a few new windows:

  • Document Attachment on Receivables Transaction Entry
  • Document Attachment on General Ledger Entry
  • Document Attachment on Employee Inquiry
  • Document Attachment in I-9 Form
  • Display Vendor notes on Vendor Inquiry
  • Display Customer notes on Customer Inquiry
  • Display Project Notes in Project Inquiry and PA Project Inquiry
  • Document Attachment in Asset General Information
  • Option to attach new documents in Inquiry windows – there is a setting in the Document Attachment Setup winodw to enable this (and to require a password to be entered).

MDGP 2016 R1 Feature of the Day: Manage or Edit Attachment Flows

Document Attachment was introduced in Microsoft Dynamics GP 2013 R1, was improved in subsequent versions and is being improved again in Dynamics GP 2016 R1 to allow attachments to be managed after they have flowed down to the transaction:

The main features are:

  • Edit attachment information that flowed from master record.
  • Enable Flow and email checkboxes for flow attachment options.

MDGP 2015 R2 Feature of the Day: Document Attachment Workflow

Microsoft Dynamics GPMicrosoft Dynamics GP 2015 R2 will soon be released (due late May/early June and, as with previous releases, Microsoft have started a Feature of the Day series on the Inside Microsoft Dynamics GP Team blog. As I have done with the last three series, I’ll be reposting these blog posts here with a little commentary.

The tenth Feature of the Day is Workflow – Document Attachment.

When a document has been added to a transaction or record using the Microsoft Dynamics GP Document Attachment feature, these attachments can now be sent with the workflow task notification email.

This feature is available for PM Batch Approval, Purchase Order Approval, Purchase Requisition Approval, Vendor Maintenance, and the new workflow type, Payables Transaction Approval.

For example, you can now enter a payables invoice, scan in and attach the record from the vendor, then submit the invoice for approval. When the approver receives the email, they will get the invoice information and the attachment will show the scanned invoice from the vendor.

Workflow Maintenance

For a few of our clients this is the missing piece of the Workflow puzzle. An email action from Workflow can contain the detail lines of an order, but a few clients have been asking to be able to include the attachments, especially for invoices and quotes attached to POs, for the manager or budget holder to review before approving.

MDGP 2013 R2 Feature of the Day: Replace OLE Note With Document Attachment

Microsoft Dynamics GPThe Inside Microsoft Dynamics GP blog started a series of Microsoft Dynamics GP 2013 R2 Feature of the day posts the other day. As they did with the Microsoft Dynamics GP 2013 Feature of the Day posts they are doing them as short posts containing a PowerPoint slide show. I am translating these from the PowerPoints into posts; you can find my series index here.

The thirty-first Feature of the Day covered is Replace OLE Notes‏ With Document Attachment‏. Dynamics GP has long supported the ability to record notes against records and also to attach OLE objects to the notes. However, the OLE notes were stored on a network share with only the link being stored in Dynamics GP.

This feature adds the ability to attach documents to the record level notes in Microsoft Dynamics GP 2013 R2 using the Document Attachment functionality which means the notes are stored directly in the Microsoft SQL Server database.

As Document Attachments are stored in the SQL Server database the data is backed up along with the rest of the Microsoft Dynamics GP data which reduces backup issues and will also simplify client installs as the OLE Path in the Dex.ini file no longer needs to be changed. Files that are attached to the notes using Document Attach will also be accessible from the Web Client.

As an example, notes can be added to the Creditor Maintenance window (Purchasing » Cards » Creditor) by clicking the Notes icon (blank white page) next to the Creditor ID field:

MDGP 2013 R2 Feature of the Day: Document Attachment On Payables Transactions

The twenty-eighth Feature of the Day covered is Document Attachment On Payables Transactions. The same Document Attachment functionality that was added to Sales and Purchasing in prior Microsoft Dynamics GP 2013 releases has now been added to Payables Transactions.

Documents can be placed directly on the Payables Transaction or they can be set to flow from the selected Vendor; these documents can be viewed from the entry window or inquiry window.

To add a document attachment open the Payables Transaction Entry window (Purchasing » Transactions » Transaction Entry ) and click the Attach button on the ribbon:
