MDGP 2016 R1 Feature of the Day: Payroll Document Attach

There are quite a few of the new features in Microsoft Dynamics GP 2016 R1 which are building on features introduced since GP 2013.

This feature adds the ability to use the Document Attachment feature, introduced in Dynamics GP 2013 R1 on the PTE Employee Expenses window and Employee Expense Entry windows:

Project Accounting Document Attach

The main features of are:

  • Use the Document Attachment feature in PTE Employee Expenses and Employee Expense Entry
  • Header and line attachments such as receipts can now be added to an employee expense
  • Attachments will flow from PTE to Project Accounting to Payables

I love the Document Attachment feature as it makes it so easy to store documents in Dynamics GP without having to maintain a network share so it is nice to see it being rolled out to the action pane on more windows.

MDGP 2013 R2 Feature of the Day: OLE Notes Migration Utility

The thirty-third Feature of the Day covered is OLE Notes Migration Utility. The ability to attach documents to record level notes has been available in Microsoft Dynamics GP for a long time. The record notes were always stored as OLE attachments until now; in Microsoft Dynamics GP, the OLE Notes have been replaced with the Document Attachment functionality which stores the notes directly in the Microsoft SQL Server Database.

To facilitate this, a Migration Utility, which runs as a separate application, can be obtained from PartnerSource/CustomerSource. The utility will allow existing users to migrate the files that have already been attached to Notes using the existing OLE functionality into the new Document Attach functionality:

I’ve never liked the OLE Attachment available in record level notes; if one client had a different path defined in the ini file and the user opened and saved a window the attachments then they would get corrupted. Using Document Attachment functionality removes this risk of data corruption and provides functionality which is much more robust.

This feature is targeted at the following roles:

  1. Administrators
  2. System Implementers

The fourteenth Feature of the Day covered is Document Attach – Scan. Document Attach was introduced in Dynamics GP 2013 and with every service pack has been further enhanced; Dynamics GP 2013 R2 is no exception with the introduction of a Scan feature.

The Scan feature allows you to attach a paper document directly into Microsoft Dynamics GP 2013 R2 using an attached scanner (previously you had to scan using external software which made attaching scanned documents a two-step process; scan the document to get a soft copy onto the computer and then go to the Document Attachment Management window of choice and attach it).

Now, just load the document into the scanner and choose the Scan button on the Document Attachment Management window of choice, and the document will be scanned and attached in one step.
